1. Introduction
AvidReach ("we," "our," or "us") operates the website at avidreach.com (the "Site"). This Privacy Policy explains what information we collect when you visit or interact with the Site, how we use it, who we share it with, how long we keep it, and what rights you have over it.
By using this Site, you agree to the practices described in this policy. If you do not agree, please do not use the Site.
2. Who We Are
AvidReach is a business consulting firm based in San Antonio, Texas, serving clients nationwide. We help small businesses — including restaurants, retail shops, and service providers — with strategy, systems, digital presence, and marketing.
For privacy-related questions, contact us using the information in Section 10.
3. Information We Collect
3.1 Information You Provide Directly
When you submit the consultation request form on our Contact page, we collect:
- Your name
- Your business name
- Your email address
- Your business type (e.g., Restaurant / Food & Beverage, Retail, etc.)
- The business challenge you describe in the free-text field
We do not collect payment information, Social Security numbers, government ID numbers, or sensitive personal data through the Site. The consultation request form is the only form on this Site.
3.2 Information Collected Automatically
When you visit the Site, certain technical data is collected automatically through cookies and third-party analytics tools (see Section 5). This may include:
- IP address (typically anonymized or truncated by the analytics tool)
- Browser type and version
- Operating system
- Pages visited and time spent on each page
- Referring URL (the page you came from)
- Device type (desktop, tablet, mobile)
- General geographic location (city or region level — not precise location)
- Clicks, scrolls, and session recordings (Microsoft Clarity only, when consent is given)
We do not collect this data until you have accepted cookies through our cookie consent banner.
3.3 Information We Do Not Collect
We do not knowingly collect:
- Information from children under 13
- Sensitive categories of personal data (health, financial, racial or ethnic origin, religion, political opinions, biometric data)
- Precise geolocation
- Data from social media logins or third-party accounts
4. How We Use Your Information
We use the information we collect for the following purposes:
- To respond to your consultation request and schedule a free call / Your request
- To understand your business needs before a consultation / Your request
- To analyze how visitors use the Site and improve it (GA4) / Consent
- To view heatmaps and session recordings to improve UX (Clarity) / Consent
- To detect and prevent spam submissions (honeypot field) / Legitimate interest
- To comply with legal obligations if required / Legal obligation
We do not sell your personal information. We do not use your information to serve you advertising on third-party platforms.
5. Cookies and Tracking Technologies
5.1 What Are Cookies
Cookies are small text files placed on your device by a website. They help the site remember your preferences or allow third-party services to measure traffic.
5.2 Cookies We Use
This Site uses two categories of cookies:
Essential cookies (always active): Our cookie consent banner uses a small cookie to remember your preference so we do not ask again on every visit. This cookie contains no personally identifiable information.
Analytics cookies (only with your consent):
- Google Analytics 4 (GA4): Tracks page views, sessions, and traffic sources. Google may process data on servers in the United States and other countries. Learn more at Google's Privacy & Terms: https://policies.google.com/privacy
- Microsoft Clarity: Records anonymized session replays and heatmaps. Learn more at Microsoft's Privacy Statement: https://privacy.microsoft.com/en-us/privacystatement
5.3 Your Cookie Choices
When you first visit the Site, a cookie banner will ask for your consent before any analytics cookies are placed. You may:
- Accept — all cookies load, including GA4 and Clarity
- Decline / Essential only — only the consent-preference cookie is set; GA4 and Clarity do not load
You can change your preference at any time by clearing your browser cookies and revisiting the Site, at which point the banner will reappear.
5.4 Do Not Track
Some browsers send a "Do Not Track" (DNT) signal. Because there is no universal standard for interpreting DNT signals, we rely on your explicit cookie consent choice rather than DNT headers.
6. How We Share Your Information
We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.
We may share your information in the following limited circumstances:
- Service providers: We use third-party tools (Google, Microsoft) to process analytics data as described in Section 5. These providers act as data processors under their own privacy terms.
- Legal requirements: We may disclose your information if required by law, subpoena, court order, or government request.
- Business transfers: If AvidReach is acquired, merged, or its assets are transferred, your information may be included in that transfer. We will notify you of any such change as required by law.
7. Data Retention
- Consultation form submissions / As long as needed to manage our business relationship, or until you request deletion
- Analytics data (GA4) / Up to 14 months (Google's default retention window)
- Session recording data (Clarity) / Up to 30 days (Microsoft Clarity default)
- Cookie consent preference / Until you clear browser cookies
When data is no longer needed, we delete or anonymize it.
8. Data Security
We take reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. Our Site uses HTTPS encryption in transit. Form data is stored with Supabase (when the backend is active), which maintains its own security controls.
No method of transmission over the internet is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
9. Your Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal data we hold about you
- Correction: Request that we correct inaccurate or incomplete data
- Deletion: Request that we delete your personal data ("right to be forgotten")
- Restriction: Request that we restrict how we process your data
- Objection: Object to certain processing activities
- Portability: Receive your data in a portable format
California residents (CCPA/CPRA): You have the right to know what personal information we collect, to delete it, to opt out of sale (we do not sell data), and to non-discrimination for exercising these rights.
EU/EEA/UK residents (GDPR/UK GDPR): You have the rights above and the right to lodge a complaint with your local supervisory authority.
To exercise any of these rights, contact us using the information in Section 10. We will respond within a reasonable timeframe and no later than 30 days.
